The People and Culture team is in an exciting period of growth and is looking for a People and Culture Assistant to join the team. As the People and Culture Assistant you will provide administrative support to the team and assist in the operational function and delivery of the People and Culture team to YoungMinds.


Candidates will be shortlisted on the basis of: experience providing administrative support in a fast paced environment; diligence & ensuring work is accurate with strong attention to detail; ability to organise and prioritise own workload; proficient in using Microsoft Office (intermediate level experience); and generalist HR knowledge or a keen interest in this area.


Purpose of the role:
To provide administrative support to assist in the operational function and delivery of the People and Culture team at YoungMinds.

Key responsibilities and duties:

  • own the recruitment admin processes using safer recruitment techniques and provide a professional, quality recruitment service, both internally and externally
  • draft offer letters, contracts and contract addendums, including salary review letters
  • process leaver admin
  • support the People and Culture team in obtaining and validating new starter checks, including references, right to work and DBS
  • accurately administer all new employee procedures and ensure employee records are complete
  • assist the People and Culture team with review dates, including end of probation, end of fixed term contracts, maternity/paternity leave and advise on related processes
  • with the support of the People and Culture Officers, develop and maintain HR admin processes
  • maintain the HR information system (Cezanne) on an accurate and timely basis ensuring all data is complete, accurate and secure in line with GDPR requirements
  • support the payroll process, ensuring the relevant changes are recorded on Cezanne
  • provide training and support to staff on Cezanne, responding to queries and resolving issues on the system
  • administrative support of wellbeing initiatives, such as virtual coffee catch-ups “Chatty bean”
  • maintain and update YoungMinds’ organogram
  • diary, event and inbox management for the People and Culture team
  • other duties that may from time to time be necessary, compatible with the nature and grade of this post
  • maintain knowledge of developments in HR best practice

  • form effective working relationships with all staff members, volunteers, child mental health agencies and relevant external organisations, developing proactive approaches and solutions
  • be responsible and accountable for safeguarding and follow the organisation’s policy and procedures at all times
  • work in accordance with the organisation’s vision, mission and values, as well as all policies and procedures
